Whole Visit: The Front Desk's Morning
The idea
This scene is constructed for this course. It follows the front desk through a morning in which every decision rests on triage, privacy and the practice's policies.
In practice
The first call is from a new patient. The medical assistant collects her full name with its spelling, her contact numbers, the reason for the visit, and her insurance. She explains the payment policy, asks whether the practice may leave messages, and confirms the appointment aloud. The second call is from someone saying he is a patient's employer and asking whether the patient was seen yesterday. She explains that she cannot confirm or deny whether anyone is a patient, and offers no details. The third caller reports sudden severe shortness of breath. She follows the emergency protocol at once, directing the caller to emergency services and alerting the provider. Then the provider's schedule falls behind. She calls the next patients to let them know, and offers a later time to those who prefer it. She leaves messages only where patients have given permission. At midday, an authorization the provider requested comes back approved. She records the authorization number and the dates it covers, then schedules the test within that window.
Where people slip
The front desk makes clinical and legal decisions all day, through triage, privacy and authorizations. Following protocol is not a lack of initiative; it is what keeps those decisions safe and consistent from one staff member to the next. The caller who claimed to be an employer, the emergency caller and the new patient each received exactly what the rules allow, no more and no less, and the morning stayed safe because of it.
