A Library Loan's Four Causes

The idea

A worked example, constructed for this course, takes the library's Loan through the four causes as a team would in the exercise.

In practice

Final cause first. The team agrees a Loan exists so that members can borrow items fairly, the library knows where every item is, and overdue items come back. Someone adds a fourth purpose that surprises the room: loans feed the figures the library reports to its funding council each year. Efficient cause next. Loans are created at the desk and at self-service kiosks, renewed online by members, and closed when an item is returned at any branch. A nightly job sends overdue notices. Formal cause: a Loan links one Member to one Item, belongs to the Branch where it began, and may lead to a Fine. Its states are active, renewed, overdue and closed. Material cause last, and slowest. The team lists member, item, branch, checkout date, due date and return date. Then the arguments begin. Is the renewal count a field on the Loan, or is each renewal a new Loan? Which date counts for the council figures, checkout or return? Is a lost item still an open Loan, or a Fine? Nobody can say, and the head of circulation admits the old system answers each question differently in different screens.

Where people slip

The first three causes took ten minutes and the fourth took an hour, which is the pattern the method predicts: purpose and process are easy to talk about, substance is not. Every question the team could not answer was about what the Loan is made of. Those questions now become the agenda for mapping and for the Loan's Pack.
